Corporate - Mobility Destination Services, Meeting & Event coordinator

Mobility is a service delivery function within Accenture which provides end-to-end support to our employees traveling or transferring on any cross-border, mobility policy.

The Destination Services Coordinator (DSC) is aligned to a Market Unit (MU) to serve as the primary point of contact for traveler, Human Resource (HR) and other internal functions to ensure successful delivery of Destination Services (DS) in the host location(s) throughout the assignment life cycle, and for understanding and escalating risk areas and compliance issues. In addition, the DSC closely partners with the Global Business Service Network (GBSN) team to ensure smooth delivery of DS processes under the supervision of the Case Manager.

The DSC role involves liaising with various suppliers to carry out the following services for the relocating employee: pre-assignment visit, home search, school search, shipping, language training, cross cultural training, spouse / life partner support, settling in services, tenancy management, repatriation training and departure services. The role is very much the middle person between the relocating employee and the preferred suppliers/vendors that we use, ensuring everything runs as smooth as possible for the employees. In this specific role, the DSC is responsible and supports the integration of the employee and family into host country, as well as repatriation activities for Cross Border Assignment (CBA) and Transfers across Greater China. These are detailed below.

The Meeting & Event (M&E) Coordinator is to manage HK meeting and events, local hotels and corporate housing program. Responsible for overseeing service delivery, policy implementation, supplier deals and the safety and security program for our travelers. The M&E Coordinator oversees the HK meeting and events and local hotel and corporate housing program in a single market and collaborates closely with MU Mobility lead and Travel Lead. The M&E Coordinator works with a wide variety of travel suppliers (Meeting vendors, hotels, car rental and other ground transportation suppliers, corporate housing suppliers, etc.) to fulfill the key responsibilities described below.


Key Responsibilities


+ Focused on enhancing both business/employee experience through initiatives, customer service, and to identify gaps and propose continuous improvement measures.

+ Monitors and optimize delivery performance and quality using metrics and status reporting and implement continuous improvements

+ Assists employees in getting them settled into their host country by arranging the DS and is on hand to reduce any complications that are common with international relocations

+ Support the day-to-day implementation, delivery and quality of destination services and/or corporate housing for specific location(s)

+ Owns, drives and improves all aspects of DS

+ Remain cost conscious and monitor budgets, report variances and recommend corrective action

+ Maintain a tracker with housing/relevant information to track employee profile changes and departure dates, and take required action to support

+ Keep on top of policy updates/changes

+ Review/support payment requests and vendor invoices as necessary

+ Participate in local, national and global special projects; act as change agent for local implementations

Risk & Compliance Management

+ Manage Risk and compliance of DS in relation to immigration, tax and policy requirements

+ Ensure delivery of operations by service delivery teams in accordance with internal policy and legal requirements

+ Perform customer request/problem identification and follow defined incident notification and escalation procedures to ensure they are communicated effectively and receive proper management attention to be resolved correctly

+ Assist with quarterly tax data gathering process for DS

+ Gather information and draft annual allowance review under MU Mobility Leads supervision

+ Engage with the case manager and business partner to ensure governance process is followed when individual circumstances may warrant an exception to standard policy provisions.

Destination Services Vendor Management

+ Oversight of DS offering coordinated by vendor

+ Coordinate the receipt of services from vendor

+ Provide single point of contact for Vendor Service Management

+ Ensure good working relationship with external service provider, Statements of Work (SOW's) are completed and employees are always receiving quality service.

+ Identify opportunities to standardize and rationalize across vendors and reduce cost based on prior track record

+ Where applicable, negotiate costs with the support of the procurement team.

Cross Border Case Management

+ The DSC should be well versed and prepared to talk about local Destination Services Providers (DSP) and services offerings

+ The DSC is responsible for making the transition as easy as possible for the traveler by being the subject matter expert

+ Work closely with Case Managers to ensure seamless end-to-end assignment support for the employee

+ Providing a high level of customer service to the traveler throughout the relocation process

+ Follow processes and use tools implemented to communicate with sponsor and employee

+ Partner with Procurement Plus and external destination services providers to ensure prompt provision of housing, schooling and transportation services

Meeting & Events

+ Manages meeting and events including approval process, event planning, logistic arrangement, onsite support, payment, etc.

+ Manages local relationships with hotel partners.

+ Resolve hotel booking issues if any.

+ Ensure hotel policy compliance.

+ Reviews supplier SLAs; monitors performance and addresses service issues

+ Ensure hotel rate loading is correct in the system.

+ Monitors and measures service perception and requirements through surveys, focus groups, etc.

+ Continually seeks opportunities to enhance services to internal customers

+ Maintains awareness of market trends and proposes new approaches

+ Collaborates with other MU event planners regionally and globally to identify and implement best practices

+ Participates in planned meeting and events meetings and calls

+ Ensures regular communication with key stakeholders on meeting and event, local hotels and corporate housing.

+ Collaborates with MU Travel lead to ensure consistency in process, service delivery, technology, communications and policy

Procurement and contract management

+ Negotiates with suppliers in conjunction with APS (as defined)

+ Identifies opportunities for increased savings and improved service delivery with current suppliers

+ Identifies potential new suppliers and services

+ Implements and communicates supplier programs within Accenture

+ Collaborates with MU Travel Lead to best leverage savings, support and services across all suppliers


+ Communicates regularly with stakeholders on travel policies

+ Monitors compliance, reports to MU Travel Lead and proposes actions, if necessary

+ Reviews local travel policy regularly; recommends necessary changes

+ Understands trends in both non-compliance and business and market changes

+ Provides training to suppliers where appropriate

Safety and security

+ Reports travel emergency information to the global mobility team and the MU Travel Lead when necessary or requested

+ Provides crisis management response in conjunction with Global Asset Protection and mobility team

+ Works with suppliers, if an emergency occurs, to secure services for stranded travelers, as appropriate


+ Establish relationships with local (GC) key Mobility stakeholders such as HR, Business Project Contacts, and external vendors.

+ Coordinate knowledge sharing sessions and initiatives across relevant stakeholders

+ Facilitate team work and process integration across global mobility teams, including AEE, and cross-functional

+ Contribute to a positive work environment; be a role model for cross-teaming/collaboration

+ Assist with ad-hoc advisory tasks or projects where required

Qualifications and Experience


+ University degree or equivalent higher education qualification

+ Qualification in a related field (e.g. home search, relocation, corporate travel of the travel industry, Immigration, Tax, HR) an advantage


+ Excellent Customer Service skills

+ Self-starter, with strong interpersonal, organizational, analytical, and verbal & written communication skills

+ Ability to function as a Team Player and maintain a good working relationship, yet think and act independently with professionalism, discretion and confidentiality

+ Ability to manage time and meet required deadlines in a fast-paced and dynamic environment

+ Thorough understanding of Accentures global policies as applicable to cross border assignments and permanent transfers, and any applicable local country addenda (including travel, immigration, tax equalization, finance)

+ Understanding of Accenture business strategy, objectives and organisation structure

Work Experience

+ 2-5 years with a multinational company in the field of service delivery or relocation management company preferred; experience in destination services, immigration, expatriate administration or tax is an advantage.
